Organization Changes Our Day, Changes Our Week and definitely Changes our School Year!
If you are a Library Media Specialist one of your many hats you wear could be budgeting. It is a lot to keep up with possibly more than one budget, what your ordering, how much your spending, and what your spending it on.
When I took over as a Library Media Specialist, I came from being a classroom teacher for fifteen years. I had not dealt with budgeting, purchase orders, payments and more. I not only had a lot to learn but had to learn how to create a system that would keep it organized and precise!
I first tried file folders to keep up with book companies, invoices that were not paid, invoices that were paid, and all the things. I often would need to take my budget information and invoices on the go to be able to get signed and discuss with administration.
Therefore, I created my Budget Binder. I use the Happy Planner System to bind my planner and be able to add, take out pages and move them throughout my binder during the budget process.
I am going to walk you through the process that works for me with my Budget Binder. This entire process may not work for you but maybe pieces and parts added to what you already do might be helpful and that is why I made my Binder Editable.
1. I request a requisition from my administration to place an order: I place a copy of the requisition behind the Requisition Cover.
2. I then will receive the Purchase Order from my administration and will take the copy of the requisition out and staple it to my purchase order and put behind my Purchase Order Cover.
3. I will place my order.
4. I will receive an invoice in the mail.
5. I will take the purchase order out of my binder and staple it to my invoice and place it behind the Unpaid Invoices tab until I am ready to send it over to my administration office to pay.
6. I will make copies before sending over to be paid.
7. I then take my copies of the Invoice, purchase order and requisition: staple together and move to the paid tab.
I also provided optional covers so you can choose the design you like along with editing your name or school.
